child registration and data management website for UPTD PSPA Dharma Samarinda

This project is a web-based platform developed as a digital transformation solution for UPTD PSPA Dharma Samarinda. The core focus of this system is to transition conventional administrative processes into a centralized, efficient workflow. The project scope encompasses the digitalization of the child registration process, child database management, and chart/diagram digitalization for real-time data visualization.

Developed as a Final Project for a Diploma III in Informatics Engineering, this system is built using PHP Native with MVC Flow and designed to resolve real-world operational challenges within a social welfare institution. By implementing a modern web architecture, this application aims to improve data accuracy, accelerate document processing times, eliminate the risk of physical file loss, and deliver public information transparency.

Main Features & Role-Based Access Control 

• Registrant 

   Users who need to register a child independently into the institution through the system. Available features:

1. 1. Digital Registration Form: Input mandatory child details and upload required supporting documents.
   2. File Revision: Modify or complete submission data if the registration is sent back by the admin due to invalid files.
   3. Application Status Tracking: Monitor the real-time status of registration submissions.
   4. Account Management: Secure personal accounts by updating passwords independently.

• Visitor 

   Public visitors who access the site without requiring login credentials. Available features:

1. 1. Public Information Portal: Access general information regarding the profile, vision and mission, registration requirements, and latest updates from UPTD PSPA Dharma Samarinda.
   2. Data Visualization: Display interactive diagrams  illustrating the regional origin distribution of children currently or previously sheltered by the institution.

• Institution Staff

   Users with full privileges responsible for total system operations and data validation. Available features:

1. 1. Registrant Account Management: Create, activate, or deactivate accounts for applicants.
   2. Verification & Validation: Review incoming applications to approve or reject submissions accompanied by explanatory notes.
   3. Automated Official Minutes Generation: Automatically generate official acceptance minutes documents.
   4. Document Customization: Modify or update basic official minutes templates directly from the system interface without altering the source code.
   5. Digital Archive: Function as a digital repository to store, organize, and download crucial agency letters and documents.
   6. Child Data Management: Perform full CRUD operations (Create, Read, Update, Delete) on child profiles officially registered within the UPTD.
   7. Portal Content Management System (CMS): Update content, announcements, and information displayed on the public landing page.
   8. Admin Profile Management: Update admin usernames and passwords to maintain ongoing system security.
